● Cookies and Similar Technologies Data: Information collected via cookies, pixels, and similar technologies as described in Section 8.
We use information for the purposes described below, and in each case as permitted by and in accordance with the UK GDPR and the Data Protection Act 2018.
● Provide and Operate the Services: To install, configure, and operate AI business automation systems, including lead re-engagement (Revenue Revival), automated review collection (Reputation Accelerator), AI voice/chat handling, lead qualification, and appointment booking.

● Legal Compliance and Enforcement: To comply with legal obligations and enforce our agreements and policies.
Where UK GDPR applies, we process personal data under one or more of the following lawful bases:
● Contract: Processing necessary to provide the Services or take steps at your request before entering into a contract.
● Legitimate Interests: Processing necessary for our legitimate interests (e.g., operating and improving our Services, maintaining security, preventing fraud), where those interests are not overridden by your rights.
● Consent: Where required (e.g., certain cookies or specific marketing communications), we will obtain consent and you may withdraw consent at any time.
● Legal Obligation: Processing necessary to comply with our legal obligations.
● Client/Controller vs. Voicera/Processor: In many cases, our clients determine what personal data is processed through the Services and for what purpose (for example, the data of their leads or customers). In these cases, the client is the controller and Voicera acts as a processor (or service provider) processing that personal data on the client’s behalf and in accordance with the client’s instructions.
● AI Voice and Chat Interactions: Our AI Employees may collect and generate data during voice and chat interactions, including transcripts, call recordings (where enabled), summaries, and booking outcomes.
● Service Improvement: We may use aggregated, anonymised, or de-identified data to improve our systems, analytics, and automation performance. We do not attempt to re-identify anonymised data except where permitted by law.
We do not sell personal data.
We may share personal information in the following circumstances:
● Service Providers (Processors/Sub-processors): With vendors and partners who help us deliver the Site and Services (for example, hosting, cloud infrastructure, communications providers, analytics, CRM and automation tooling, and customer support tooling). These providers are authorised to use personal information only as necessary to provide services to us and are subject to appropriate contractual safeguards.
● Legal Requirements: If required by law or where we believe disclosure is necessary to comply with a legal obligation, protect our rights, investigate fraud or security issues, or respond to lawful requests.
● Business Transfers: If we are involved in a merger, acquisition, financing, reorganisation, sale of company assets, or similar transaction, personal information may be transferred as part of that transaction (subject to standard confidentiality protections).
We are based in the United Kingdom, and we may use service providers that process data outside the UK. Where personal data is transferred outside the UK, we will implement appropriate safeguards as required by UK GDPR (for example, the UK International Data Transfer Agreement and/or other approved transfer mechanisms), where applicable.
We retain personal information only for as long as necessary to achieve the purposes described in this Privacy Policy, including to provide the Services, resolve disputes, enforce our agreements, and comply with legal, accounting, or reporting requirements.
Unless otherwise agreed or required by law:
● Client-provided lead/customer data and AI interaction logs are typically retained for the duration of the service relationship and a reasonable period thereafter for continuity, auditing, and support.
● We may retain certain information for longer where necessary to comply with legal obligations or to establish, exercise, or defend legal claims.
If you are in the UK (and in other jurisdictions with similar rights), you may have the right to:
● Access: Request access to your personal data.
● Correction: Request correction of inaccurate or incomplete personal data.
● Deletion (Erasure): Request deletion of your personal data, subject to legal exceptions.
● Restriction: Request that we restrict processing of your personal data in certain circumstances.
● Data Portability: Request a copy of certain personal data in a commonly used, machine-readable format and/or have it transferred to another provider where technically feasible.
● Object: Object to processing based on legitimate interests in certain circumstances.
● Withdraw Consent: Where we process based on consent, you can withdraw your consent at any time (this does not affect the lawfulness of processing prior to withdrawal).
How to exercise your rights: Contact us using the details in Section 12. We may need to verify your identity before responding. If we process your information on behalf of one of our clients (as controller), we may refer your request to that client or assist the client in responding.
We use industry-standard technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure. Measures may include encryption, access controls, least-privilege permissions, and security monitoring. Despite these measures, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
